NIGHT RECEPTIONIST (m/f)
📍Location: Libya
Job Description:
- Works exclusively night shifts
- Performs reception duties: takes reservations, answers inquiries, provides necessary information by phone, email, or in person, assists guests, greets and accommodates guests, checks on their accommodation, informs them about hotel facilities, conveys information about F&B services and other hotel services, helps arrange additional services for guests (taxi, car rental, excursions, transfers, etc.). Informs guests about local events and activities. Communicates with other departments and conveys necessary information related to service quality and business efficiency. Registers and checks out guests according to current standards and procedures
Main areas of work and responsibilities:
- Plans and organizes tasks within his/her scope of work, knows ways of organizing work, standards and procedures in the hotel
- Prepares for work: Participates in shift handover, familiarizes with tasks, prepares to welcome guests, prepares room cards, informs other departments and superiors with daily reports on guest arrivals and departures, meal services, occupied rooms, checks the daily events book, prepares and executes all mentioned obligations, checks email and promptly responds to inquiries
- Updates online sales, updates the hotel website, enters extra services and calculates them, prepares proforma invoices, bills, and guest invoices, collects payment in cash or credit card, performs necessary system operations (closing transactions, cash register, fiscal reports, etc.). Responsible for the cash balance in the cash register according to hotel procedures
- Recognizes each guest and establishes contact with each arriving guest (maintaining a minimum of 3 meters distance whenever possible)
- Greets the guest in their native language or English with preferably using their last name
- Fulfills guest requests ensuring all tasks are efficiently resolved and prioritizes guest requests over administrative tasks
- Informs all departments of special guest requests and collaborates with all hotel departments
- Well-versed in hotel offerings, room rates, room availability, promotions, services, and amenities, strives for maximum room occupancy (up-selling)
- Ensures payment guarantee upon guest check-in (cash deposit, credit card authorization, agency voucher)
- Answers the phone quickly and efficiently following standard phone answering procedures (answering by the third ring with standard internal and external call answering)
- Thoroughly hands over the shift and at the beginning and end of every shift ensures all notes are detailed in the reception diary
- Maintains high standards of personal hygiene, behaves in a kind and positive manner that promotes the good reputation of the hotel
- Checks the technical integrity of work equipment and machinery in the work area, immediately reports malfunctions, informs about the repair status, and follows energy saving procedures
Required education, experience, skills, and abilities:
- III or IV level of professional education (preferably secondary education in the hospitality field)
- Minimum of 2 years of work experience in a receptionist position
- Knowledge of English (knowledge of another foreign language is desirable)
- Dedication to guests and high quality service, communication with guests and colleagues
