Receptionist (m/f)

Reports to: Reception Manager/Shift Leader
General Job Description:
- Performs tasks related to reception work: handles reservations, responds to inquiries, provides necessary information via phone, email, or in person, welcomes guests, checks their accommodation, informs them about hotel facilities, conveys information about F&B services and other hotel services, assists in arranging additional services for guests (taxi, car rental, excursions, transfers, etc.). Informs guests about local events and activities. Communicates with other departments and conveys necessary information related to service quality and operational efficiency. Checks-in and checks-out guests in accordance with applicable standards and procedures.
Key Areas of Work and Responsibilities:
- Plans and organizes tasks within scope of work, familiar with work organization methods and standards and procedures in the hotel
- Prepares for work: participates in shift handover, familiarizes with job duties, prepares to welcome guests, prepares room keys, familiarizes other departments and superiors with daily guest arrival and departure reports, board services, occupied rooms, reviews daily events log, prepares to perform all duties listed, checks email and promptly responds to inquiries
- Updates online sales, updates hotel website, enters extra services and calculates them, prepares pro forma invoices, bills, and invoices for guests, collects payment in cash or credit card, performs necessary system operations (closing transactions, cash register, fiscal reports etc.). Responsible for cash balance in accordance with hotel procedures
- Recognizes each guest and makes contact with each arriving guest (maintaining a minimum distance of 3 meters whenever possible)
- Greets the guest in their native or English language, preferably using their surname
- Meets guest requests ensuring all tasks are efficiently resolved and prioritizes guest requests over administrative tasks
- Informs all departments of special guest requests and collaborates with all hotel departments
- Thoroughly familiar with hotel offerings, room prices, room availability, promotions, services, and amenities, strives to achieve maximum room occupancy (up-selling)
- Ensures payment guarantee upon guest check-in (cash deposit, credit card authorization, agency voucher)
- Answers the telephone quickly and efficiently following telephone answering standards (no later than the third ring for internal and external calls)
- Thoroughly hands over the shift and at the beginning and end of each shift verifies that all notes are detailed in the reception log
- Maintains high standards of personal hygiene, behaves in a polite and positive manner that promotes a good hotel reputation
- Checks the technical correctness of work devices and equipment in the workspace, reports faults immediately and informs about repair status, respects energy-saving procedures
Required Education, Experience, Skills, and Abilities:
- Completion of secondary or post-secondary education (preferably in hospitality)
- Minimum 2 years of experience in a receptionist position
- Knowledge of English language (additional foreign language preferred)
- Commitment to guests and high-quality service, communication with guests and colleagues
