ASSISTANT DEPARTMENT PROJECT MANAGER (m/f)
📍Location: Libya - Benghazi
Job Description:
Responsible for providing comprehensive administrative support to ensure smooth and efficient daily functioning of the department. The role includes managing internal and external communication, organizing meetings, maintaining documentation, and coordinating with teams, clients, and partners. The Assistant is the key contact person within the department and ensures timely execution of administrative tasks, report preparation, and office material maintenance
Key Responsibilities:
- Organizing and managing office and administrative activities
- Managing incoming communication (phone calls, emails, letters) and forwarding to relevant staff
- Planning and coordinating meetings, travel, and schedules for project teams and management
- Preparing documentation, reports, and presentations related to project activities
- Archiving and maintaining orderly records - physical and digital documentation
- Professional reception and communication with visitors, clients, and partners
- Supporting internal teams in organizing logistics, supplies, and office activities
Required Qualifications:
- High school diploma or higher education level; additional administrative training is an advantage
- Work experience in similar positions (secretary, administrative assistant)
- Excellent knowledge of Microsoft Office tools (Word, Excel, PowerPoint, Outlook) and office equipment usage
- Advanced communication and organizational skills
- Ability to work in a dynamic environment, with a high level of accuracy and discretion
Desirable Skills and Competencies:
- Effective time and priority management
- Attention to detail and precision in documentation management
- Ability to work on multiple tasks simultaneously and meet deadlines
- Proactive approach and strong problem-solving skills
- Professional handling of confidential information
- Advanced knowledge of Excel and/or Google Sheets
Languages:
- English - mandatory
- Arabic - desirable
