DOCUMENT CONTROLLER AND ARCHIVE MANAGER (m/f)
📍Location: Libya
Job Description:
- The document control and archive manager will be responsible for managing, organizing, overseeing, and storing all documents and records related to the project in a construction company. This role is vital for maintaining compliance with legal, contractual, and regulatory standards. The controller ensures that documentation is accurate, up-to-date, securely stored, and easily accessible when needed
Key Responsibilities:
- Develop and maintain a document control system, ensuring all project documents are managed in accordance with company standards and best industry practices
- Maintain logs for incoming and outgoing documents and track revisions
- Ensure all documentation (e.g. drawings, specifications, contracts, permits, and reports) is accurately distributed to relevant stakeholders
- Implement and monitor document control procedures and policies to ensure consistency and compliance with internal and external requirements
- Establish procedures for numbering, coding, and archiving documents
- Create and maintain a structured and secure archival system for storing physical and electronic documents
- Ensure all project documents and records are securely archived, both physically and electronically, and easily retrievable as needed
- Coordinate with IT and other departments to develop strategies for digitizing records and improving data storage methods
- Regularly review the archive system to ensure compliance with legal, regulatory, and corporate retention requirements
- Protect the integrity and confidentiality of all archived records
- Ensure all project documentation complies with contractual, legal, and regulatory requirements
- Provide regular reports to project managers and senior leadership on document control status and archive updates
- Collaborate with quality assurance/quality control (QA/QC) teams to ensure document control processes meet quality industry standards
- Lead internal and external audits related to document control and records management, ensuring compliance with company project and policies
- Oversee and train document control staff and ensure compliance with document control processes
- Act as the main point of contact for inquiries, issues, and requests related to documents in various project teams
- Foster a culture of continuous improvement in document control and archive management processes
- Ensure proper use and functionality of document control software, identifying any needs for upgrades or process improvements
- Provide training to employees on document control software and best practices
Qualifications:
- Bachelor's degree in business administration, information management, construction management, or related field
- Minimum of 5 years of experience in document control or documentation management, preferably in the construction or engineering industry
- Experience managing physical and digital archives
Skills and Abilities:
- Fluent in English (written and spoken)
- Basic knowledge of Arabic (reading and understanding) will be considered an advantage
- Innovativeness
- Good knowledge of document control processes and construction documentation standards
- Familiarity with construction management software (e.g. Aconex, Procore, SharePoint, etc.)
- Excellent organizational skills and time management skills with a keen eye for detail
