Job Description: The Technical Assistant provides administrative support to the head of technical design and the technical design team. A key part of the role is ensuring collaboration with clients and timely flow of information. Qualifications:

  • Graduate engineer or related fields
  • Ability to quickly perform administrative tasks in a demanding environment

Reports to: Head of Technical Department

Key Responsibilities:

  • Manages the technical design calendar, arranges and schedules meetings
  • Organizes agendas and meeting preparation, takes notes
  • Handles incoming and outgoing correspondence, including emails, letters, and phone calls, with fast and professional responses
  • Maintains records for all technical documentation, reports, and project-related materials
  • Prepares documentation, presentations, and reports as per instructions
  • Establishes communication between the head of technical design, designers, employees, and suppliers, ensuring smooth communication and prompt responses
  • Coordinates projects and meetings, including online and on-site meetings. Assists in preparing relevant materials
  • Ensures timely updates of all important information and notices, delivering them to the technical design team promptly. Assists in monitoring all deadlines, deliveries, and is responsible for informing the team in a timely manner
  • Submits documentation for approval, ensuring that the documentation is properly signed, filed, and delivered on time
  • Organizes and prepares meeting rooms with all necessary materials for presentations and project meetings
  • Orders and maintains all necessary materials and technical equipment needed by the design team
  • Ensures the smooth functioning and proper equipment of the construction site
  • Coordinates with the IT department or maintenance sectors regarding any malfunctions, especially for technical issues
